Private Environment add-on

Revised 14 October 2026·Version history

Individual access and purchasing are planned. These terms apply when that service is enabled.

These terms supplement the individual Terms of Service for Fern™ and its variants. They govern the add-on where different; the individual Terms govern everything else.

1. Your Environment

The add-on gives one individual an isolated Environment with its own virtual private cloud, database, document storage, encryption key and sign-in service. Other customers do not use those resources. Varosync operates it on AWS in us-east-1, United States. It is not a separate team licence or a promise of a separate AWS account.

The add-on is available with any individual plan, including pay as you go, when offered for your account. Accounts remain personal and cannot be shared.

2. Price and renewal

The fee is $1,250 monthly, plus applicable tax, in addition to any selected plan. It does not include extra Credits. Work and storage are charged under the individual Terms.

Billing starts when your Environment is ready, not merely when you request it. The add-on renews monthly until cancelled. Checkout requires separate express renewal consent and shows the total recurring charge. Confirmation, reminders, online cancellation, price-change notice and existing-subscriber consent follow the individual Terms.

3. Setup and migration

We aim to provision within five business days after accepting your order and tell you when it is ready. If we cannot provide it within 15 business days, you may cancel and receive a full refund of any add-on fee collected.

We move existing Cases, documents, Outputs and Configurations from the Shared Environment without an additional migration charge. Your Credit balance and expiry dates do not change. We agree a migration window and explain any temporary read-only period rather than promise a fixed migration duration.

After successful migration is confirmed, old active copies are deleted within 30 days, and their backups expire within 35 days after active deletion. Your retained private copy is not deleted as part of that cleanup.

4. Processing and security

Data is encrypted at rest and in transit, with an Environment-specific AWS KMS key. The database and document storage are not publicly accessible. Named-account, session, access and recorded-support controls apply.

The Council still uses enabled commercial Model Providers under no-training terms. Isolation does not remove authorized model processing, Cloudflare edge handling or disclosed provider retention. Private document passages remain in the restricted processing step without web tools.

Continuous automated vulnerability scanning runs on every release. Independent penetration testing is planned within 90 days of the first paid service start, then at least yearly and after major changes. SOC 2 readiness work is under way; there is no audit report yet. The add-on does not include the B2B SLA, Forward-Deployed days or separate certification.

5. Cancelling the add-on

Cancel online through billing controls or at [email protected]. Cancellation takes effect at the end of the paid month. It does not cancel your underlying account or erase top-up Credits.

You may request migration back to the Shared Environment or export during the following 30 days. We provide assistance where needed. After that period, the private Environment's active copies are deleted within 30 days and its backups expire within 35 further days. A copy you asked us to retain in the Shared Environment remains under the individual Terms.

If you close your entire account rather than only the add-on, the individual Terms' shorter account-closure sequence controls: active deletion within 30 days of closure and backup expiry within 35 days afterwards. We retain only the limited records described in the Privacy Notice and any lawful hold.

Refunds, withdrawal rights, disputes and the single aggregate liability cap are those in the individual Terms. There is no additional cap or indemnity for this add-on.
